Help us keep your property data correct by letting us know of any changes.

As a customer of NHS Property Services, we ask that you inform us of any planned changes to the space you use, at least three months in advance, so we can continue to support you with your health and safety compliance responsibilities and make sure that you are billed the correct amount.

Let us know when you plan to:

  • Change how you use space (e.g. clinical to non-clinical)
  • Swap space in your building, or move to a different building
  • Reduce the amount of space you currently use
  • Expand the size of space you occupy
  • Vacate your current space

If you do not have an existing formal tenancy agreement with us, or if your occupancy has changed, please let us know by filing in the form below, making sure you give us three months notice. One of our team will get in touch to discuss your occupancy requirements.

Changes to occupancy due to coronavirus (COVID-19)

At this unprecedented time, we are dedicated to supporting our NHS colleagues with property options to provide urgent additional capacity and different space requirements. 

Our teams are able to assist you with planning and delivery of solutions which require changes to all or part of a site and can work with you in the early stages to identify any additional estate or facilities management requirements. This will allow us to consider impacts on other occupiers of buildings; plan for additional cleaning requirements; impacts of changes to operating hours (such as extended working, weekends and the upcoming bank holiday) and any required FM resourcing.

We would like to clarify that these changes do not have to go through the usual Occupancy Change Notice form or process. This is because they are likely to be temporary, and should be actioned as soon as possible. However, where possible, it would be helpful if these change requirements are co-ordinated through your commissioning teams to ensure we can provide the most appropriate support.

Conditions where an Occupier vacates space

When the Occupier vacates space, it shall:

  1. vacate the entire Property demised to them;
  2. settle all outstanding rent, payments and other charges relating to and accrued during the Occupier’s occupation of the Property up until to the date of vacation;
  3. have complied with all terms and conditions specified in any lease or other occupation agreements where applicable;
  4. cancel any equipment leasing arrangement and services arranged by the Occupier to the Property and ensure the removal of such equipment where applicable;
  5. remove all furniture (and other items) belonging to it and shall clear all rubbish from the Property; and
  6. make good all damage caused to the Property by the Occupier.
